Payroll Clerk (Bilingual Spanish Required)
Position Summary
A company in the West Houston area (fully in-office role) is seeking a detail-oriented Payroll Clerk to support payroll and timekeeping operations in a fast-paced environment. This role is responsible for ensuring employee hours are accurately recorded, properly allocated to projects, and processed correctly and on time. The ideal candidate is not only skilled in payroll administration but also takes ownership of identifying discrepancies, asking questions, and resolving issues before payroll is processed.
Key Responsibilities
- Monitor employee timekeeping records to ensure hours are submitted accurately and on schedule.
- Follow up with employees and supervisors regarding missing, incomplete, or questionable time entries.
- Review employee hours for accuracy, completeness, and proper project allocation.
- Ensure labor hours are charged to the correct jobs, departments, and cost centers.
- Investigate unusual or inconsistent payroll entries and resolve discrepancies prior to payroll processing.
- Prepare payroll data accurately and within established deadlines.
- Reconcile timesheets and payroll records before processing.
- Assist with payroll adjustments, deductions, corrections, and other payroll-related transactions.
- Maintain accurate payroll records and supporting documentation.
- Respond to employee and management inquiries regarding payroll and timekeeping.
- Provide administrative support for HR-related activities as needed.
Required Qualifications
- Fluent bilingual communication skills in both English and Spanish (required).
- 1-3 years of payroll, preferably with the construction, engineering, or project-based industries.
- Working knowledge of prevailing wage requirements, weighted average calculations, and certified payroll.
- Proficiency with Microsoft Office 365, including Excel.
- Familiarity with payroll and timekeeping software systems.
- Strong organizational skills and exceptional attention to detail.
- Ability to analyze information, identify discrepancies, and proactively solve problems.
- Demonstrated ability to handle confidential payroll and employee information.
- Strong communication skills with the ability to interact professionally with employees and managers at all levels.
- Self-motivated with the ability to work independently and take ownership of responsibilities.
